What to automate first
Start with the task that is repetitive, rule-based, and done often. If a person follows the same steps every time with no real judgement, a machine can do it. Pick the one that wastes the most hours for the least risk, prove it works, then move to the next.
You probably already own the tools
If you use Microsoft 365, you very likely already have Power Automate, which can connect your systems and strip out a lot of the copy-paste without a big new purchase. The skill is knowing what to automate and how to do it safely, not buying more software. That is the sort of quick win we look for first, before anyone talks about a bigger system.
