Operations

Three signs your operations are leaking time and money

The costly leaks are quiet ones. Three signals worth taking seriously before they compound.

Leaks in an operation are rarely dramatic. There is no single moment where money visibly walks out of the door. Instead it drains slowly through small inefficiencies that each look too minor to worry about. Here are three signs worth taking seriously, because they tend to point at something larger underneath.

1. Everything urgent, nothing planned

If your team spends its days firefighting, that is not a sign of a busy business. It is a sign that the planning further upstream is not working. Constant urgency means problems are being caught at the last possible moment, when they are most expensive to fix, rather than prevented earlier when they are cheap. A calm operation is usually a well-run one, not a quiet one.

2. The same question, asked over and over

When people repeatedly ask where something is, whether a job is done, or which version is correct, the process is not giving them the information they need to do their work. Every one of those questions is a small interruption, for the asker and the answerer both. Multiply it across a team across a year and you have a full role's worth of time spent chasing status that a decent system would simply show.

3. Your best people are doing your simplest work

This one is easy to miss because it looks like reliability. The experienced person handles the tricky order, fixes the recurring glitch, catches the error before it ships. It feels safe. But if your most capable people are spending their time on things that could be designed out or handled further down, you are paying a premium for work that should not need them, and you are not getting the higher-value work only they can do. It is one of the most expensive leaks there is, precisely because it hides as competence.

What to do with this

If one or more of these feels familiar, the useful next step is not a big transformation programme. It is a clear-eyed look at where the time actually goes, so you can tell the difference between a leak worth plugging and a minor annoyance worth leaving alone. That focus is the point. Most operations do not need a hundred changes. They need the right handful.
